NOVEMBER NEWS



 On 13th November the awards evening for all allotments in borough of Lewisham took place .... WELDONE to Rachel who won best plot for our site, and BIG WELDONE to us all for again coming second in best site category.
It is a great accomplishment....but first place is still the goal!!!

The proposal for a communal polytunnel has been agreed- we have the funds and Dennis has kindly agreed to organise purchase and delivery.
The ground we plan to position it on needs to be prepared- volunteers needed- Sunday 25th November at 1pm. It should only take about an hour if there are a few of us.....
Then the erection of the polytunnel is planned for first week in January- how does Saturday 5th sound to you???  Many hands really do make light work- and this project will benefit us all, either directly, if you are growing in it, or indirectly as plants will be grown for sale, and proceeds used to fund future projects / events.
Please let us know if you can help- THANKYOU.

Names put forward for 5 ft section (£10 per year) inside the tunnel are: Vilma; Dennis; Bob and Lynn; Marion and Dave; Denny and Steve; Susan and Simon; Nick; Roy; Rachel (leaving 1 ‘’plot’’ to grow things to sell)  if you would like to go on the reserve list, let me know as someone may change their mind..
We hope this addition will be a big asset to the site.

Bonfire party on the 3rd went with a bang (sorry!!) Seriously, it was a great evening enjoyed by all there.  Hope to see even more join us next year.

Honey made from Bees on our site is still available from Mike- but selling fast. His contact details are on blogg and on his plot. (£4 jar) it is wonderful.

Seed order went off and delivery expected of seeds in two/three weeks- thanks to all who made an order- our % back came to nearly £50. Amazing!

News.....

Honey
We all now can purchase DELICIOUS Knapmill Way honey!!!  It was available at our bonfire night party- and sold really well.

Poly-tunnel meeting
The idea of a  poly tunnel as an allotment purchase to go on the communal area, has been well received.  

A meeting to answer questions and make a decision on the purchase is scheduled for Sunday 11th Nov at 2pm. All welcome.
 

Seed Orders
Seed orders have now been sent off- thank you to all who supported this scheme; it is a win win idea- we get seeds at half price or less, and the allotment gets a small percentage of the final order cost, seeds should arrive in about a month.

Rachel, plot 13, won best plot on Knapmill! She has been nominated for entry to best in the borough, good luck Rachel.


Our site has also been nominated for best in borough- awards evening is the 13th Nov....fingers crossed.

Meeting opened 19.00             Guy Gibson, Chair of the Association welcomed members.
1.     Minutes of AGM 2011 were agreed as a true record and there were no matters arising.
2.     Chair’s report
            2011/2012 had been a poor year as regards weather and harvests. Demand for plots was still             high. The Association will be looking for a new secretary as Valerie will have to retire from             the post as Blythe Hill is no longer self- managed. The Chair offered thanks to Valerie for her             contribution over the last four years. A new constitution has been developed with the             Council and will be presented to the meeting later. The Chair thanked all allotment site             committees for their hard work this year.
3.     Secretary’s report. A written report had been provided for all sites outlining the number of plots rented out this year and the extent of the waiting list.
4.     Treasurer’s report. £70 is currently in the Association’s account and this will need to be topped up by the Council to cover the next year’s outlay
5.     Election of officers. The Chair and Treasurer were re-elected unopposed. It was agreed that Valerie Fairbrass would remain in post until next autumn with the intention that the role be handed over to Denny Senner, Knapmill Way during the spring and summer of 2013.
6.     Association Consitution.
            This was presented to members by the committee who had agreed the details with the             Council and the Legal Department.  Various issues were raised by the meeting :
            If a site is struggling to manage, for whatever reason, then the Chair and Secretary of the             Association will try and assist. The Committee will endeavour to provide some form of             training for site committees to give them confidence to deal with issues as they arise.
            Tenancy agreement – site committees can make local adjustments to this to suit their own             site while remaining within the spirit of the agreement
            If plotholders leave part way through the year they are not entitled to any of their rent back.             This can lead to plotholders hanging on to their plots for longer than is helfpful.
            The Committee recommended acceptance of the Constitution and it was agreed             unanimously           
7.     Water – not all sites have metered water and there was a variety of means by which sites ensured that water bills were covered. It was essential that where water was metered, sites keep a regular eye on the meter. There was a suggestion that water farming could be a useful way of ensuring water was conserved and possibly reduce water rates. If sites wish to impose additional charges on plotholders to cover water they must let the Allotments Officer know of their intention.            
8.     Waiting list. It was essential that all sites use the same procedures for offering plots to those on the waiting list. It was agreed that those offered plots be given two weeks to respond. If they miss that window of opportunity they will remain at the top of the list and the next name will be offered the plot. Sites should ensure that they only offer plots to one person at a time.
9.     Managing untended plots. It is necessary to be firm with all plotholders who are not tending their plot according to the tenancy agreement. Where medical issues are involved then plotholders should be encouraged to use friends/colleagues/other plotholders to maintain the plot.
10.  Any other business
a.     Management agreements should be with sites by the end of October.
b.     Insurance – Hiscox did not require NSLAG membership
c.     Barmeston Road had a crane working overhead during building works. The crane company             are responsible for all issues of health and safety regarding plotholders beneath the crane.
d.     Tenancy agreements do not need to be re-signed each year.
e.     Composting toilets – Trewsbury Road built theirs for £800

Polytunnel Meeting 11 November

A meeting to discuss the proposal for a polytunnel on the communal area has been scheduled for Sunday 11 November at 1pm.

Would You Use A Poly-tunnel???


We are looking into building a poly tunnel on the communal area so that all plot-holders could have the opportunity to start seedlings off, grow plants under cover etc.


Plot-holders without a car (to transport seedlings) / greenhouse of their own/ or even, sunny window sills often really struggle to grow the plants that need heat to start them off.

We could also use it to grow surplus plants to sell on at fairs etc that would supplement allotment income and fund future projects / just pay for necessary maintenance.

What do you think???? Be good- if we were to do this- that it be up and running by early spring 2013.
If it does go ahead, we will need volunteers to help with the build......could that be you???

IT’S A GREAT OPPORTUNITY TO BUY YOUR SEEDS FOR NEXT YEAR AT HALF PRICE, AND THERE IS A VERY GOOD SELECTION OF MORE UNUSUAL CROPS AND HERBS,AS WELL AS HERITAGE VARIETIES.

PLEASE HAVE YOUR ORDER IN BY THE END OF OCTOBER- YOU NEED TO COMPLETE AN ORDER FORM, AND MAKE CHEQUES PAYABLE TO ‘KNAPMILL WAY ALLOTMENT ASSOCIATION’ (PLEASE ADD £1 FOR POSTAGE)

SEEDS WILL BE DELIVERED TO DENNY, AND THEN BROUGHT TO SITE, LEFT IN TOILET IN INDIVIDUALLY NAMED PACKETS.  THIS NORMALLY TAKES A COUPLE OF WEEKS.

Plot reviews


AUTUMN PLOT REVIEWSIN LINE WITH OUR PRACTICE OF RECENT YEARS, WE WILL BE ASKING VALERIE FAIRBRASS (SELF MANAGED ALLOTMENT SECRETARY) TO VISIT OUR SITE AND ADVISE THE COMMITTEE OF ANY PLOTS WHICH LOOK UNCULTIVATED.
IT HAS BEEN A DIFFICULT YEAR WITH THE WORSE WEATHER SINCE RECORDS BEGAN, HOWEVER WE ARE ALL STILL REQUIRED TO REGULARLY CULTIVATE ( WHICH MEANS TO ACTUALLY PREPARE,PLANT AND MAINTAIN) OUR PLOTS.

Lewisham Allotments Competition


Lewisham Allotments Competition –
Monday 9th July – Friday 13th July 2012

As the temperature is increasing, along with the rain levels (!) I hope your crops are flourishing and thoughts turning to the annual allotments competition. 

Our competition details/categories are listed below and for those of you who will be capturing wonderful photos of your plots, we have added a new category for Best Allotment Photo; whether it be close ups of your produce, allotment wildlife photos, character photos of plotholders or just quirky, original  images of allotment life then do send them in direct to me on the e-mail below.  Deadline for receipt of photos is Friday 27th July

Please distribute info to all your members and please note the following -

·      Judging will  take place week commencing Monday 9th July.

·      Entry forms must be received by Friday 6th July.

  • Please can committees submit no more than three plots they think should be considered for judging for the Best Plot category (any above three will not be considered).  For Best Plot the judge will then choose one winner only for each site that has submitted nominees. 

·      Site Keys – If you have made any recent changes to your main gate keys/code locks please do ensure that I have the correct keys/codes in advance of the judging period.  If the judge is unable to gain access to the site then the site/plots will not be judged.
  
  

·      Plot Numbers - All entrants must have a clear plot number on their allotment; those without will not be judged.


·      Category judging


Best Plot – there will be one winner for each site, where entries have been submitted; certificate and award will be sent via the site committee to present as they see fit.  This category will also be judged borough wide with overall 1st, 2nd and 3rd place winners who will receive their certificate and award at the presentation ceremony.

Best Allotment Photo / Best New Plotholder/Best Allotment Site – will be judged borough wide with 1st, 2nd and 3rd place winners invited to the awards ceremony.

Details on the awards ceremony will follow in due course.

2012 AGM


AGM OF KNAPMILL WAY ALLOTMENT ASSOCIATION
19TH MAY 2012

MATTERS ARISING: none

CHAIRS REPORT: Allyson gave a report to the meeting of the challenges and rewards she has experienced as chair in the last year.  She emphasised that trust, care and mutual respect have been the key to our community coming through a year that has seen many individually, and also us all as a site, face very difficult situations.
The officers roles were discussed, and plotholders encouraged to consider stepping up to the challenge of taking on one of these jobs, with the help and support of current officers.  If not this year – maybe next time?

SCRETARYS REPORT: Denny highlighted various improvements made to the site- fencing (protecting us from potentially dangerous dogs who had invaded the site on several occasions)and fire damage repair to existing fencing, new lock to gate (thanks to plotholder who kindly gave a donation to cover the cost), improvements to the communal area etc
Gratitude was expresses to those plotholders who have given up their time-(and money-petrol has been kindly donated by Nick and Bob for example) to help with maintenance- led by Bob and Nick. And to those who do the many necessary small jobs- like toilet cleaning etc.
Also thanks to Rachel for working so hard on the communal area, and organising the weed and plant day recently. (Thanks to all who helped)  As a site we came 2nd in the borough in the allotment competition, and hopefully we can get 1st this year!
Our autumn visit from Valerie Fairbrass (Self managed allotment team) identified three plotholders who were failing to cultivate their plots.  Letters were sent and good responses were received from all, resulting in plots coming up to standard this year. Thanks to those concerned for their cooperation.  Val will be visiting again later this year- please be aware we are all expected to regularly cultivate our plot,having ¾ cultivated at all times.
A special vote of thanks was offered to Allyson and Nick who worked closely with Katy Delaney and Lewisham Team to resolve the extremely stressful situation that had developed with a plotholder.  The committee appreciate all the support they received through this difficult period.

NICKS REPORT:A statement was read out from Nick who has kindly stepped in to help Allyson as chair over the last few months.
Main points-         New dip tanks are planned to help those furthest from existing ones during hose pipe ban.  Please do not be tempted to break the hosepipe ban- as we as a site could be liable for the fine, and may also lead to water meters which will escalate each plotholders rent.
                     Difficult member- A plotholder was found to be in serious breach of our tenancy agreement and was served a notice to quit.  The plotholder employed a solicitor to fight her case, however with the support of Katy Delaney and team, this plotholder was relocated to another site.
Our plans to improve the site can now continue as we put this difficult and time consuming situation behind us.
                     Stalls at festivals-lets raise some cash to go towards alloment projects. Details to follow.
                     Theft- we are now signed up to the safer neighbourhood scheme, but please be vigilant with putting tools away ect
                     Nick encouraged members to support other allotments such as those in Greenwich in fighting huge rent rises, and to be aware of the pressure put on the council from developers.
TREASURERS REPORT:               Mowers have not been serviced, and petrol donated by Nick and Bob – hence lower maintenance costs this year.
                                          Insurance we have is the cheapest- basically, do we want to pay more for better cover? (Allyson to look into this)
It should be noted that if you, a visitor, or an intruder was to hurt themselves on a non-garden connected item, ie a toy, or a chair ect, the plotholder where the incident happened would be personally liable if sued.  Our insurance would not cover this.
Please be aware of this in the things you leave out on your plots.
                                          Fences- we do need repairs to some sections, and it is hard to get the council to cover costs of this.  It has been suggested we plant pyracantha bushes (very thorny) which will deter intruders and dogs and will grow to a decent thickness if planted now whilst fences are still serviceable.
                                          Bank Account- Santander have taken over from Alliance and Leicester.  The account is very difficult to use and we get no interest.  New accounts were discussed and it was decided to change to the coop
                                          Donations were received towards the social fund when rent requests went out, plus individuals gave lump sums. Total-£328.29 many,  many thanks for these. Not everyone can give money, and not every one can give time, but everyone can give something if they have the desire to.

ELECTION OF OFFICERS: As no nominations received, currents officers agreed to remain in their current roles.
Denny and Lynne strongly suggested that members think about taking on officers jobs next year and are available to explain the roles and help the change over.  The work is minimal most of the time, and there are many positives to the jobs.

KNAPMILL WAY ALLOTMENT ASSOCIATION AGM: Minutes

30th April 2011- 2pm

MINUTES 2011 AGM- read and agreed. Dennis, seconded Harry.

MATTERS ARISING-
FOOD COOP: ‘food supermarket’ doc discussed. Nick offered to look into feasibility of setting up trading post style coop on the site. (reminder to all we have access to John Box shop that offers fertiliser etc. Though you would need to compare prices yourself to ensure they are competitive) plot-holders invited to share ideas with Nick about selling excess produce etc
MANURE/CHIPPINGS- disappointingly this never came to fruition...dave felt there wasn’t enough communication about what was wanted, and is still happy to pick up manure and deliver chippings if arrangements are made to help him unload.

SHREDDER- if you would like to use dave’s shredder (no longer stored on site) please contact him to arrange. He assured meeting that his personal business insurance would cover this.

WHEELBARROWS- only 1 working. Would anyone like to arrange repairs to be done....?

RE ELECTION OF OFFICERS- a statement was read by chair from the current committee.

The committee felt undermined by a minority of members who have called into question the integrity and capabilities of the committee, without actually explaining what their issues are.
Current officers do not wish to stand again just by default (no other nominations having been received) and request a vote of confidence from this AGM to confirm that plot-holders are happy that they are being properly represented and fully support the committee in the year ahead.
The committee wished to state that they stood by all decisions taken, confident that they had at all times followed allotment procedure, acting on directives from the previous AGM.
A vote of confidence was carried with 2 abstentions.
A motion was put forward by Nick,seconded by Tim, to thank the committee for their hard work and commitment. This was gratefully received and the committee agreed to stand for another year.

CHAIRS REPORT- thanks to all for the hard work put in this year in order to bring us to this point. And a huge welcome to mew members who look set to be real assets to the site.

SECRETARY REPORT-we are continuing negotiations with Katy Delaney to get some more fencing- issues with dogs invading have been the priority
We have full occupancy of the site and much positive feedback about the positive impact new members are having
100% cultivation is the goal for all plots, and while we all struggle from time to time, if plot-holders are unable to fully work their plot in the long term, they will need to think about reducing the size of the plot they have.
If anyone wants to talk about doing this, or-at the other end of the scale- would like a bigger plot, please let the committee know. If you need short term help, let the committee know this too. We want our plots to be a pleasure and not a burden, and we are here to help if we can.

TREASURERS REPORT
-‘the books’ are here today, and anyone can view them.

Summary of yearly finances was circulated (copy on notice board) our finances had been submitted to the council for audit as usual and agreed by them.

Plotholders involved in running the site work for free, and Lynn warmly thanked all for their help – large and small. All were asked if they could do something to help in the coming year? As we are self managed, all jobs are down to each of us – can you do something to support the site? If not at the moment, bear this in mind for the future please.

Rents all paid on time- based on new rod measurement- which is fairer. Thank you to Bob and Denny for taking time out to do this.
Details of financial summary read and agreed
Re insurance-Lynn wanted plotholders to note that if your visitor is hurt whilst on the site, they will have to sue you and you will then make a claim against our insurance.
Also- for insurance tools such as mowers are serviced annually. Bob currently arranges this- would anyone else like to sort this out?

Keys-if you lose a key, you must replace it at your cost. Deposits of £5 will now be charged per key.
New lock- ideas please.

Gazebo- £71.99. this was purchased as promises to organise a build didn’t happen. However, this is temporary- ideas please
£100 prize for best site- need to decide how to spend
Socials- £100 in 2010 (toilet launch) £50 2011 AGM.

As we have received comments regarding this being improper use of funds,though this isn’t something we as a committee agree with, we suggest a voluntary contribution scheme at rent renewal time, which will off set any costs of social events for the benefit of all. It was emphasised that whether contribution was made or not, all are welcome to enjoy all social events.
Plotholders generousity in contributing food and drink at socials to date has been overwhelming and much appreciated. This will still be most welcome.
Bank balance (as reported) – though we have money in the bank, this is due to our having monies left from the toilet fund-which is earmarked for communal area projects.
Therefore, eventually, our incomings will not meet our expenses. While we do not need to panic, we do need to address this issue.

A.O.B -bins-please no heavy rubbish in bins!!!!!!! Take it home.
